// Google Workspace vs Microsoft 365

“Can Google do what Microsoft 365 does?” is the wrong question.

The answer is almost always yes, with a few honest caveats. Matching Microsoft 365 feature for feature comes down to making some hard calls and investing in more third-party tools. Here is what that actually looks like, so the decision is about total cost and fit, not a checkbox.

Keep Microsoft Office for the spreadsheet-heavy finance team if you need it. Workspace edits Office files cleanly, but it is web-first with no installed desktop suite.

Both sell telephony as a paid add-on: Google Voice or Microsoft Teams Phone. Google Voice covers the basics (numbers, voicemail, auto attendants) but is lighter on carrier flexibility and PBX depth, and business texting is US-only, so no SMS from a Canadian number. Teams Phone is the fuller, more flexible system.

Google endpoint management is solid for mobile and ChromeOS but thin on Windows and macOS: limited app deployment, no native patch management, and barebones remote control. Microsoft Intune, by contrast, is a market leader at managing Windows and macOS devices.

Add a third-party EDR such as CrowdStrike, SentinelOne, or Microsoft Defender. Workspace secures mail and browsing, but endpoint detection and response is not native.

Data governance
Google classifies data with Drive and Gmail labels plus DLP at Enterprise tiers, but protection stays cloud-side. It has no native equivalent to Microsoft Purview's persistent, encrypting sensitivity labels that travel with a file and stay enforced on Windows and macOS devices, even with a third-party bolt-on.

Backup & recovery
Add third-party backup for Gmail, Drive, Calendar, and Contacts. Google has no native backup, whereas Microsoft now offers a first-party Microsoft 365 Backup add-on (paid, pay-as-you-go), so this is a real bolt-on for Workspace.
