After a wave of user complaints, Microsoft is adding a simple switch to turn its AI features off during Teams meetings. It is a small change on its own, but it points at a bigger question every business should answer on purpose rather than by accident: what do you actually want AI doing, and listening to, in your meetings?
What happened
Microsoft is rolling out an in-meeting toggle, through July 2026, that lets a licensed meeting organizer or presenter turn "Meeting AI" on or off during a live call. That covers Copilot, the Recap feature that summarizes the meeting afterward, and the Facilitator, which listens along and chimes in with suggestions. You can switch them all off, all on, or pick and choose. The change followed genuine backlash, much of it aimed at the Facilitator interjecting uninvited. Until now, wrangling these features was mostly an administrator's job buried in policy; soon it is a button in the meeting itself.
Why a small business should care
It is tempting to file this under "nice-to-have setting." But there is a real substance underneath it:
- These features create records. Copilot and Recap produce transcripts and summaries of what was said. That is new business data you now hold, subject to the same privacy, storage, and retention questions as any other record of a conversation.
- Consent and comfort matter. People speak differently when they know an AI is transcribing and summarizing. A client may simply not want their words captured. A visible off switch helps, but only if someone actually decides when to use it.
- Defaults are decisions you did not make. AI features increasingly arrive switched on. If you have never set a position, your meetings, including sensitive client ones, may already be generating AI transcripts nobody chose to create.
